Responsibilities:
- Provide effective, consistent, and responsive administrative support to the Forest Regulation Budget & Business Operations Manager and for the Forest Regulation Division. Manage operating and capital budgets for the Forest Regulation Division Maintain legislative topic and technical expert list of the Budget and Business Operations related issues. Provide management oversight and technical assistance for LobbyGov for the division.
- Review legislation, determine appropriate assignments, and manage and track the completion of bill analyses and fiscal notes as well as prioritizing incoming and outgoing requests.
- Responsible for the organization and management of the Budget and Business Operations legislative activities, providing regular briefings to staff, and providing support where needed regarding research, review, and management of legislative assignments.
- Maintain Fiscal Note spreadsheets ensuring they are provided to Finance by due dates and to OFM when requested.
- Serve as the Budget & Business Operations’ procurement expert for procuring goods and services, purchasing office supplies, equipment, software, and field gear. Responsible for ensuring compliance with state and agency policies and procedures in the procurement of goods and services. Order information equipment/software and cell phones for staff following state procurement regulations and procedures.
- Serve as the division travel expert. Coordinate all aspects of travel arrangements to include detailed itineraries. Assure necessary forms for over per diem and out-of-state travel are completed for the division. Process travel expense vouchers for accuracy and ensure compliance with state and agency policies and procedures. Contact staff when corrections are required, and process verified and completed travel vouchers to the Financial Management Division for payment in a timely manner.
Required Qualifications
- An associate degree in business administration, public administration, or a related field,
OR a combination of education and experience equivalent to the above.
AND one year of recent experience in at least two of the following areas:- Office support
- High-level administrative support
- Financial and budget support
- Legislative support
- Experience supporting senior executives and maintaining confidentiality when working with sensitive personnel information.
- Experience establishing priorities, tracking projects, establishing deadlines, and ensuring deliverables are received.
- Experience fostering working relationships with management, peers, and customers.
- Demonstrated commitment to fostering and supporting an environment that honors diversity, equity, inclusion, and environmental justice practices.
- Perform assigned duties in a manner consistent with applicable laws, regulations and public records retention and requests are followed.
